PROJECT AND COMPANY DESCRIPTION

The Centralized Utilities Company (Marafiq) will provide all utilities to the industrial zone located in the Special Economic Zone of Duqm.

Marafiq, through its subsidiary, “Duqm Power Company (DPC)” is executing a major power generation and water project, plus an 80km transmission line project, to supply utilities to the Duqm Refinery (DRPIC) and Ras Markaz Tank Terminal.

JOB PROFILE

The Site-Document Controller is responsible for establishing the document control system and in charge and responsible for all incoming and outgoing documents in the department and Company, including registering, cross-referencing and storing digitally and if appropriate in hard copy within a filing system.

SPECIFIC RESPONSIBILITIES:

  • Ensure all the works tasks needed for timely, successful completion of the projects, in accordance with the contractual terms and Conditions

  • Overall Supervision of Document and data control activities

  • Control of EDMS. Ensuring correct document numbering of the documents to be dispatched, in accordance with the numbering procedure. Ensuring that correspondence and documents exchanged with Contractors and Consultants are in accordance with Procedure.

  • Ensure that the filing of Document /Drawings are in accordance with the project filing system with proper Index. Control all master files and related documentation process.

  • Prepare Document Status reports periodically for follow-ups

  • Ensure up to date projects database and documentation are in place to address spot Audit checks

  • Ensure accurate and timely information handover from Projects to Operations

  • Manage Project Contract closeout activities including final documentation

  • Responsible for workflows set up for the project teams. Ensure IM deliverables are received in the required format and within the agreed timeframe

  • Submit outgoing Documents to Contractors and Consultants via transmittals and support to prepare and deliver the letters.

  • Maintain the As-build and Red-line mark up as per the industry standard

  • Manage Project Contract closeout activities including final documentation
    Developing and documenting the system in compliance with industry norms.

  • Manage and maintain all the incoming and outgoing Documents.

  • Checking all the documents before it goes out of the office.

  • Checking the drawings, outgoing drawings and marking the revisions.

  • Other additional work provide by manager related to the projects

  • adhere to the Company’s health, safety, environmental and security policies at all times and immediately report violations of these policies to Marafiq’s health, safety & environment representatives;

  • Manage the document control process to ensure that information flows are; properly managed within Marafiq, and between it and other key stakeholders, particularly the Authority;

  • Project/Site Administration Support as per Project Requirement.

TECHNICAL KNOWLEDGE / SKILLS/ COMPETENCIES:

  • Knowledge of Project database and administration

  • Demonstrated application of current software used to produce tracking documentation and reports

  • Knowledge of Project Management Processes and relevant successful experience in Management and documentation of information in Project Management environment

  • Knowledge of business application like MS Word, PowerPoint and Excel

BEHAVIORAL SKILLS / COMPETENCIES

  • Ability to work towards continuous work process improvement

  • Ability to lead effective meetings and negotiate terms to benefit of organization

  • Developing and using collaborative relationships to facilitate accomplishment of work goals

EDUCATION/EXPERIENCE:

  • Higher secondary school or business diploma qualification.

  • Minimum 5 years of related experience.

  • Ability to demonstrate document control activities.

  • Good English language skills and a working knowledge of office computer programs Word and Excel including document control system.

  • Excellent communication skills.
